Cutover Management Review
🔍 What is this Service Offering about?
A Clear View of Your Cutover—Before Things Get Critical.
Are you in the midst of implementing your Outcome Delivery Structure (ODS) and want to know how well your cutover management is actually set up at this point? Then this service offering is exactly what you need.
The emphasis here is not merely on evaluating a cutover schedule that has already begun. The focus is on the methodical and strategic implementation of your cutover stream within the framework of your chosen ODS.
Key Questions of the Review
- Go-Live Strategy: Have you defined a robust and clear strategy?
- Governance: What does the governance look like during cutover planning, the actual execution, and the subsequent hypercare phase?
- Deliverables: Are the deliverables and milestones of your cutover plan still on track within the critical timeframe?
🎯 Target Audience
This offering is aimed at project managers, cutover managers, and PMOs who are already in the midst of cutover planning and are looking for an independent, methodical quality assessment (quality gate).
💡 Value Proposition
With the GESWO Review, you’ll receive a structured, independent assessment of your cutover planning. You’ll minimize project risks before the actual cutover by:
- Thoroughly identifying risks and blind spots (missing steps).
- Objectively assessing the current status of your planning.
- Receiving concrete, actionable recommendations for optimization.
📦 Specific Deliverables
– 1 –
Detailed Report
You will receive a comprehensive report documenting all findings, risks, and recommendations. This report is formulated in such concrete terms that it can be implemented directly as a blueprint in your ODS.
Methodological Basis: We use the Cutover Governance Matrix (CoGM), described in the reference book “SAP Cutover Management,” as an objective evaluation criterion.
– 2 –
Presentation of Results
We will present the results to you live via online meeting — either to a select group of executives or to your entire project team. This provides the ideal setting for asking questions and defining the next steps.
📅 The 2-Week Roadmap (Tier 1 – Project Level)
Smaller SAP projects with an implementation period of one year can typically be evaluated in terms of their cutover methodology over a two-week period. The following is an example of what a review project looks like.
Day 1: Kickoff & Onboarding
- Joint kickoff meeting with stakeholders (project management, PMO, cutover stream).
- Provision and review of all relevant documents (strategy papers, ODS plans, governance models).
- Clarification of organizational access rights and final coordination of the interview schedule.
Days 2–5: Interviews & Status Assessment
- Conducting focused interviews with key roles (Cutover Manager, Stream Leads, PMO).
- Comparing the current state with the requirements of the methodological-strategic ODS.
- Initial identification of risks, dependencies, and potential “blind spots.”
Days 6–9: Analysis, Evaluation, and Report Preparation (GESWO Focus Phase)
- In-depth analysis of the collected data using the Cutover Governance Matrix (CoGM).
- Development of specific, actionable recommendations.
- Finalization of the detailed results report and preparation of the management presentation.
Day 10: Results Presentation & Workshop
- Presentation of the results, findings, and risks to the desired audience (management team or project team).
- Interactive Q&A session to help the audience directly apply the recommendations.
- Delivery of the final report as a ready-to-use blueprint for your ODS.
💰 Duration and Costs
- Smaller SAP projects (with an implementation period of 1 year) can typically be evaluated over a 2-week period in terms of their cutover methodology.
- For more extensive projects or programs, an evaluation can certainly take 3 to a maximum of 4 weeks.
- We then need a scoping session for a portfolio scenario involving multiple interdependent projects, or more extensive initiatives involving a large number of interfaces to legacy systems.
